PRIMARY PURPOSE:
Effect the efficient operation of food service office routines and practices associated
with a busy Child Nutrition department and efficiently run the office. Assist the
activities of the payroll department in providing timely and accurate salary payments
to AISD food service employees.
QUALIFICATIONS:
Minimum Education/Certification:
High school diploma or equivalent
Typing Proficiency >40 WPM
Special Knowledge/Skills:
Strong customer service skills, including appropriate office etiquette
Strong communication, public relations, organizational, and interpersonal skills
Detail oriented
Strong computer skills (Dell) running MS Windows, MS Word, and Excel.
Knowledge of payroll procedures and regulations
A working knowledge of data processing systems and payroll/personnel applications
Ability to meet deadlines and remain organized
Work Conditions:
Tools/Equipment Used: Standard office equipment including personal computer
and peripherals, mobile computing device
Posture: Prolonged sitting, Moderate standing and walking, bending/stooping, pushing/pulling, twisting
Motion: Repetitive hand motions including prolonged keyboarding & use of mouse; moderate reaching
Lifting: Lifting and carrying (up to 50 pounds)
Environment: Work with frequent interruptions; must maintain professional demeanor under stress;
Must have problem solving skills
Regular attendance is an essential function
Minimum Experience:
Two years experience in general clerical/bookkeeping responsibilities- preferred
MAJOR RESPONSIBILITIES AND DUTIES:
- Serve as receptionist to the public and professional clientele. Must be able to maintain a helpful, friendly attitude while under extreme pressure.
- Accept and process job applications, including assisting prospective employees in completion of applications, reviewing job applications, contacting applicants to schedule interviews, assisting in the hiring process, and maintaining appropriate records and files.
- Use telephone system to relay incoming calls.
- Answer questions of callers; take messages for staff members.
- Make meeting arrangements and keep a calendar of meeting schedules and locations.
- Write and distribute memos, letters, reports and other forms of correspondence as requested.
- Order office supplies as needed.
- Accept deliveries of supplies and route to appropriate person.
- Assist applicants coming into the office with the application process.
- Resolve problems in a timely fashion and consistently keep track of details.
- Assist in preparing biweekly payroll for food service personnel and part-time employees, including entry of time clock corrections and absences, and maintain appropriate files.
- Assist food service employees with questions regarding payroll.
- Complete and file documents as per instructions from supervisors.
- Maintain a professional appearance, attitude, and manner at all times.
- Follow district safety protocols and emergency procedures.
- Ensure compliance with all local policies and state and federal statutes including the Educator Code of Ethics.
- Perform such other tasks and accepts such other responsibilities as may be assigned.
