Job Summary and Qualifications
The Receptionist contributes to high quality, patient-centered care by performing a variety of clerical services to support departmental operations. The Receptionist functions as receptionist for the unit and assists the patient care team with patient-centered secretarial tasks while maintaining a clean, well-organized, and safe patient environment. Works under the direct supervision of the clerical supervisor and at the direction of the Director of Diagnostic Imaging. Responsible for all front-end responsibilities with checking in all outpatients for Diagnostic Imaging and ensuring proper physician orders. Responsible to greet the patients and answer the front office phone. Recognizes the purpose of employment is to prioritize the patient as number one and put forth the utmost quality as being the patient's first encounter into Diagnostic Imaging for their testing needs. Will also aid in scheduling patients if needed by the patient. Works collegially with the physicians' offices to obtain the correct orders if needed to keep the workflow going within Diagnostic Imaging.
- Greets and attends to patients/visitors in waiting areas, directing them to other departments, communicating regularly, and keeping them informed of wait times as needed. Promotes and displays a positive, customer-oriented demeanor.
- Performs patient-centered secretarial tasks, such as physician order entry and creating, labeling, and organizing patient charts. Disassembles and files charts after discharge. Maintains patient confidentiality at all times.
- Receives and directs all incoming calls and relays pertinent messages to others while maintaining accuracy, clarity and confidentiality. Exercises good judgment and discretion in all communications and escalates issues as appropriate.
- Fosters positive first impression by ensuring waiting area and work areas are tidy, organized, and safe for visitors, patients and family members.
- Demonstrates proficiency in the use of computer and other office equipment, including all equipment used for communication, such as intercoms, fax machines, and clinical documentation systems.
- Orders and re-stocks office and other unit supplies as needed. Performs minor office equipment repairs and upkeep.
- Obtains required patient information with 100% accuracy from patient, physician, and/or physician staff, at time of patient presenting in Diagnostic Imaging.
- Completes the diagnostic testing check in process to include appropriate screening forms, identifying patients that need labs, and/or exam preps
- Reschedules patients as necessary.
- Demonstrates Customer Service principles and behaviors appropriately.
- Regular, punctual and dependable attendance.
- Ensures appropriate recording of hours worked, adhering to hospital policy.
- Keeps waiting room and front desk area clean and orderly.
- Answers phone promptly and courteously.
- Communicates effectively with patients, visitors and co-workers.
- Attends in-service presentations and completes all mandatory education requirements on or before the due date.
- Prepares imaging studies on disk as necessary and completes all required release forms.
- Serves as a communication liaison between unit and other hospital departments.
- Other duties as assigned.
Education and Qualifications:
- High School Diploma, GED or Equivalent
- Basic Life Support (BLS) required or to be obtained within 30 days of start date
- Customer Service and/or Patient Admin Service Experience preferred
