The Villegas Law Firm (TVLF) is a public interest-oriented private law firm that represents workers in wage and hour, discrimination, harassment, wrongful termination and other employment and civil rights matters. TVLF specializes in helping low-wage, monolingual Spanish-speaking, and Latino immigrant workers, but represent workers throughout California by bringing individual and class action litigation to recover unpaid wages, enforce penalties, and improve working conditions. Through litigation, we seek to make a positive impact on the industries in which California workers labor, as well as on the families and communities in which they live.
We are seeking the perfect candidate to be our Receptionist / Administrative Assistant who will help us answer the phones, conduct initial interviews with clients over the phone in English or Spanish, perform day-to-day administrative functions and/ or general office duties. The ideal candidate is passionate about interacting with workers from all types of industries and Spanish-speaking clients, has a friendly disposition and is a team player. The candidate must be able to work under pressure and handle multiple tasks, able to deal with difficult clients, and establish priorities effectively.
RECEPTIONIST/ADMINISTRATIVE ASSISTANT JOB DESCRIPTION
(IN OFFICE POSITION)
Answering, routing and assisting calls accordingly;
Check voicemail for reception line;
Greeting visitors;
Format pleading documents in Word and PDF format;
Prepare Excel reports including wage and hour audits;
Manage clients' case files and communicate with them as needed;
Ordering and stocking supplies;
Maintaining waiting area, copy room and other common areas organized;
Water plants;
Sorting and distributing incoming mail; preparing outgoing mail;
Communicating with vendors via email or telephone;
Light office filing;
Tracking time for cases;
Copying or shredding documents;
Processing payments;
Taking outgoing mail and/or UPS delivery to their drop box at the end of the day.
Assist our paralegal and legal assistant with various tasks.
Perform day-to-day administrative duties.
POSITION REQUIREMENTS: High School diploma or GED required, AA or BA preferred; Must have strong communication skills; speak, read, write Spanish proficiently; computer-proficient, including proficiency in Microsoft Office Suite, Quickbooks, Adobe, Zoom, and other applications; can handle sensitive and confidential information and able to maintain confidentiality; self-starter, organized, manages time well and can prioritize tasks; attention to detail; ability to work well with others; prior experience working in an office environment preferred. Pursuant to the San Francisco Fair Chance Ordinance, we will consider for employment qualified applicants with arrest and conviction records.
Benefits:
-Compensation: $22- $25 per hr. depending on experience and qualifications.
-Part-time (Minimum 25 hours per week) and possibly turning into a full-time position after the 90-day probationary period and
depending on the candidates job performance and skills.
-Part-Time position Benefits: Sick pay after 90 days of employment
-Full-Time position Benefits: Medical, Dental, sick pay, paid holidays, paid vacation after the probationary period and a retirement
plan after one year of service.
