Field Representative II, Concierge Hospitality

POSITION PROFILE

This position will work closely with the Site Manager and the customer's Facilities Manager. This individual will also assist with group company activities such as parties, group functions, and department meetings. This position may also include general clerical duties, shipping, and receiving products and supplies. This position reports directly to the Site Manager.

Job Duties and Responsibilities

  • Monitor conference and meeting rooms, ensuring that each conference room has the necessary supplies and set-up prior to meeting times.
  • Partner with IT to ensure AV equipment setup for meetings.
  • Work with business leaders to proactively ensure all facility requirements have been addressed (including communications, signage, equipment, A/V, stage, chairs, etc.) for meetings and events.
  • Liaise with coffee vendors and janitorial staff to monitor efficient and effective performance in maintaining a first-class office environment.
  • Ensure that all areas of the premises are maintained in function and appearance as vital parts of a first-class facility, in full accordance with all established safety, housekeeping, and brand promotion standards.
  • Maintain adequate stock levels of office supplies and coffee supplies on an ongoing basis.
  • Complete the daily checklist form and inventory forms.
  • Represent the culture of both Ricoh and the customer as required.
  • Perform other duties as assigned.

Qualifications (Education, Experience, and Certifications)

Typically Requires:

  • High school diploma or equivalent.
  • 1-3 years of experience in the field or in a related area.
  • Experience working in a headquarters environment preferred.

Knowledge, Skills, and Abilities

  • Outstanding organization and coordination skills.
  • Demonstrated customer service skills.
  • Good PC skills, including proficiency with Microsoft suite.
  • Good problem-solving skills.
  • Ability to work with minimal supervision/oversight.

Working Conditions, Mental and Physical Demands

  • Typically, an office environment with adequate lighting and ventilation, and a normal range of temperature and noise level.
  • Work assignments are diversified. Interpret, comprehend, and apply complex material, data, and instruction. Prepare, provide, and convey diversified information.
  • Minimal physical effort required. Work requires walking, standing, bending, reaching, lifting, or carrying objects typically weighing less than 10 lbs. (e.g., papers, books, files, and small parts, etc.).
  • Moderate dexterity - regular application of basic skills (calculator, keyboard, hand tools, eye/hand coordination).
