Location: Baltimore, MD (ON-SITE, local candidates only)

Salary: $19 to $22 per hour

FLSA Status: Non-Exempt

Job Overview:

Administrative Receptionist in our Baltimore facility will provide general office support and be responsible for receiving visitors, answering incoming calls, mail distribution, flow of correspondence and requisition of supplies.

Additional tasks:

  • Greet visitors and assists to determine nature and purpose of visit; directs or escorts them to specific destinations.
  • Answers the phones- screens or forward calls, provides information, takes messages, or scheduling appointments.
  • Perform administrative support tasks such as takes meeting minutes, transcribes handwritten information, scans documents, maintains files, drafts correspondence, coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.) etc.
  • Schedules appointments and maintain and update appointment calendars.
  • Collect, sort, distribute, or prepare mail, messages, or courier deliveries..
  • Manages travel arrangements for personnel as needed and prepare agendas and make arrangements, such as coordinating catering for luncheons, for committee, and other meetings with outside vendors.
  • Appropriately manage information of a highly confidential and critical nature.
  • Provide day-to-day administrative support to colleagues following assigned work priorities and established processes and operating practices.
  • Assists in the ordering, receiving, stocking and inventory management of laboratory & office supplies.
  • Assists Human Resources Department with the coordination of interviews and on-boarding/off-boarding

What We're Looking For:

We are seeking individuals who have strong communication skills with attention to detail who thrive in fast-paced environments.

  • Associate degree with two years of administrative experience.
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
  • Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
