Event Coordinator (Contract) Location: Washington DC (Hybrid 2-3 days/onsite) Industry: Events Coordination Pay: $20-$25/hour Duration: Contract through November 2025 Hours: 37.5 per week Background Check: Required About Our Client: Addison Group is partnering with a reputable membership-based organization seeking a detail-oriented Event Coordinator. This role supports the planning and execution of both virtual and in-person events, including a large annual conference. The ideal candidate will bring strong organizational skills and the ability to manage multiple moving parts in a fast-paced, deadline-driven environment. Job Description: The Event Coordinator will assist the events and programming team with speaker management, contract administration, and event logistics. This includes handling communications, gathering content, and supporting the seamless coordination of educational programming from planning to post-event follow-up. Key Responsibilities: Coordinate logistics and content for conferences, webinars, and meetings Manage speaker outreach, collect bios, abstracts, and AV/travel needs Process and track speaker contracts and related documentation Assist with speaker registration, accommodations, and scheduling Maintain accurate speaker information in internal systems and event platforms Support marketing teams by reviewing and verifying speaker content Handle post-event evaluations, compile data, and produce summary reports Coordinate meetings and communications between internal teams and speakers Upload speaker materials to virtual platforms or event apps Process speaker reimbursements and travel expenses Qualifications: 2+ years of experience in administrative or event coordination support Proficiency in Microsoft Office Suite, especially Excel and Word Experience with Cvent or similar CRM tools a plus Excellent attention to detail and strong organizational skills Ability to communicate professionally with all levels of stakeholders Comfortable working independently and in a team Bachelor's degree preferred, but not required Perks: Opportunity to gain hands-on experience supporting large-scale events Exposure to high-level professionals and industry stakeholders Flexible hybrid schedule Professional development in a collaborative, mission-driven environment Addison Group is an Equal Opportunity Employer.
