JOB PURPOSE SUMMARY
The Secretary - Receptionist will provide front-line support for the district office, ensuring that all visitors and callers are greeted and assisted professionally and courteously. This role involves managing incoming and outgoing communications, maintaining accurate records, and performing various clerical duties to support the smooth operation of the building. The receptionist also serves as a key contact point for parents, administrators, and staff, ensuring effective communication throughout the district.

Fluent in Spanish
Other Skills and Abilities Required
Fluent in both English and Spanish
Demonstrated broad knowledge of major office administrative support functions, modern office terminology, procedures, and equipment
Ability to use personal computer and software
Ability to meet established deadlines
Strong communication skills, both orally and in writing
Ability to interact with top-level officials and all staff with tact, courtesy, and diplomacy
Ability to follow complex oral and written instructions
Ability to maintain a high level of confidentiality concerning district, personnel, customer, and vendor information
KEY FUNCTIONS, ESSENTIAL DUTIES AND RESPONSIBILITIES
General
Greet and assist visitors to the district office, ensuring they sign in and are directed to the appropriate personnel or location.
Operate the district's phone system, answering calls, directing them to the correct departments, and taking messages as needed.
Maintain an organized and professional reception area.
Provide clerical support including typing, filing, and managing correspondence.
Distribute incoming and outgoing mail and manage other communications.
Maintain up-to-date contact information for staff and stakeholders.
Function as a communication link between limited English-speaking families and district personnel, translating and/or interpreting in both Spanish and English.
Safety
Screen and direct visitors to appropriate district offices, school sites, and personnel.
Ensure that visitors sign in and are issued a visitor tag.
Ensure doors are locked and functioning properly.
Issue identification badges to new employees.
Other
Assist in other office-related tasks as needed.
Participate in training sessions as required.
Maintain confidentiality and follow district safety protocols and emergency procedures.
Perform other job-related duties as assigned by the Director of Personnel or designee.

PHYSICAL REQUIREMENTS/WORKING CONDITIONS
The physical demands, work environment factors and mental functions described herein are representative of those that must be met by an employee to successfully perform the essential functions of this job.
Physical Demands: While performing the duties of this job, the employee is occasionally required to stand, climb or balance, stoop, kneel, crouch, or crawl. The employee must regularly lift and/or move up to 40 pounds.
Work Environment: While performing the duties of this job, the employee will work primarily in offices, hallways, gyms, classrooms, bathrooms, shops, playgrounds, cafeterias, portable buildings and pool environments. The Employee may be required to work from a remote location in the event of a district shut-down or other event. The employee may be required to work evenings and weekends during enrollment / registration periods and attend events where community members are in attendance.
Mental Functions: While performing the duties of this job, the employee is regularly required to communicate, compare, analyze, coordinate, instruct, evaluate, and use interpersonal skills. Occasionally required to compile, copy, compute and negotiate.
