Patient Access Representative (Outpatient Rehab)

Position Responsibilities:

  • Verifies insurance eligibility obtaining appropriate pre-certification and/or authorizations for all pre-registered patients no later than 24hrs prior to scheduled services documenting in Star system verification approval screen.
  • Accurately and efficiently enters all patient data in to Star System, insuring notes for financial follow-up by authorization unit/financial counselors, has been entered into Star Systems insurance screen and Medicare Secondary Payor Form (MSP) has been completed if applicable
  • Explains all documents/consents i.e. consent for treatment, authorization to release information, advance directive acknowledgements, and patient rights/responsibilities) and obtains signatures.
  • Greets all patients when they arrive for their appointments. Checks their status and announces their arrival to the therapists. Makes all transportation arrangements for patients that require assistance.
  • Follow facility's guidelines for upfront collections(i.e. copays, deductibles, selfpay) at 100% logging ledgers and receipts accurately.
  • Enters specific therapy related occurrence codes as required and maintains accuracy of codes on subsequent registrations throughout the treatment duration.
  • Schedules initial evaluation and ongoing therapy appointments in RMS scheduling program accurately for appropriate therapist and within allowed insurance parameters, provides patient a copy and places copy in patient chart.
  • Obtains Patient Outcome (FOTO) Surveys and ensures accurate entry into the computer program by the patients and therapists.
  • Maintains all medical records following the Health Information Management policies and procedures.
  • Notifies therapist and patient approximately one week prior to the expected expiration of insurance coverage and notifies therapist of documentation requirements to obtain further coverage for the specific insurance company. Processes therapists requests for further insurance coverage via contacting insurance company or physician office and providing all required documentation required; and makes routine follow-up contact on a daily basis until response is received and process is complete. Notifies appropriate parties (patient, therapist, MD) of final determination of insurance request and accurately records response in STAR and patient chart.
  • Completes charge posting functions to include accurately posting patient charges and reconciling posted charges on a daily basis.
  • Reviews patient discharge charts bi-weekly to ensure all documentation is complete, dated and signed. Flags charts for any missing/incomplete information and returns charts to therapists for completion. Compiles list of discharge patients and completes Series Discharge function in STAR registration program.
  • Monitors physician signature procedures on evaluation, monthly recertification, and discharge summary forms and make follow-up calls to ensure physician signatures are received in a timely manner to enable continuity in patient care.
  • Answers the telephone by the third ring and addresses the callerss issues in a timely manner.

Qualifications:

  • High school graduate or equivalent level of training. Some college preferred
  • One year practical experience in computer usage. One year prior expiernce in registration, collections and insurance verifications preferred. Excellent communication and customer service skills.
