Overview This is an onsite role with the business hours of Monday - Friday 8:00am - 5:00pm. We are looking for candidates who live within a commutable drivable distance to our San Francisco, CA office. This position facilitates daily operations through a range of administrative support duties. Coordinates documentation, information, and scheduling to enhance workflow for the department. Receives and routes incoming client calls. Prepares mailings, maintains files, and performs other duties as related to department administration. Responsibilities Communication - Answers incoming calls and routes appropriately. Collaborates successfully with management and associates in completion of daily administration duties. Maintains open and positive communication when receiving, answering, and directing department correspondence. Business Support - Corresponds with clients over the phone and occasionally in person to resolve client account issues, answer inquiries, and other support duties. Documentation - Prepares and maintains a variety of documentation, performing activities including faxing, copying, and filing. Produces reports and customer mailings. Maintains customer contact information in the department database program. Scheduling - Schedules appointments and client meetings for associates. May coordinate or maintain department calendars. Responsibilities Include: Greeting all visitors, clients, and employees with a warm welcome Dressing professionally and business appropriately Overseeing the "Welcome" experience (making it memorable) Overseeing the lobby, welcome area and general office space to ensure it is clean, safe, organized and orderly. Submitting work orders with the building for any repairs, lights out, additional cleaning, etc. and ensuring the work orders are completed promptly by the Property Management Office Liaison to lobby security for external visitors and contractors Registering all visitors through Cloudgate Conference room and event space reservations Overseeing and updating Monday.com Event intake requests General front desk and concierge duties (welcome tours, preparation of office coffee, amenity stocking etc.) Managing Reception Inbox and provide monthly metrics. Possibilities of providing back-up support for the San Francisco Experience Center Invoice processing for office maintenance services (janitorial, plant maintenance, coffee/snacks) Ordering office supplies as needed per the Office Manager Mail processing: Sorting mail & scanning via Envoy delivery application. Assisting in any small projects, event, or office support as noted by the Office Manager & Office Coordinators Overseeing building maintenance and construction as noted by the Office Manager & Office Coordinators Basic IT support Hours: Monday-Friday 8:00am- 5:00pm Qualifications High School Diploma or GED and 1 years of experience in Administrative Skill(s): Strong telephone skills & customer service experience. Preferred Experience: Hospitality experience Event experience Customer service and front desk experience IT support experience Administrative support The base pay for this position is generally between $18.21 to $26.50 per hour. Actual starting base pay will be determined based on skills, experience, location, and other non-discriminatory factors permitted by law.
