Regional Plan Association (RPA) seeks a dynamic and highly organized Event Coordinator to join our team. Reporting to the Director of External Relations and Events, you will play a key role in planning and executing a wide range of events that advance RPA's fundraising, engagement, and advocacy goals. As a member of the External Relations team, you will work cross-functionally with Development, Communications, and Advocacy to support proprietary programs such as the RPA Assembly , Celebrate the Tri-State , and NJ Reception , as well as partner events, issue-focused programs, cultivation events, webinars, and networking functions. Key Responsibilities Event Logistics & Production: Assist with planning, logistics, vendor coordination, catering, volunteer recruitment, speaker management including liaising with VIPs and their staff and on-site support for in-person and virtual events. Ensure seamless execution of event details. Support the Director of External Relations and Events with post-event analysis preparation. Event Communications & Promotion: Manage end-to-end Eventbrite execution. Support with ticketing system configuration. Ensure event website materials are up to date. Collaborate with Communications to distribute remaining event communications including event invitations, reminders, and post-event surveys. Internal Engagement: Organize and lead annual internal events (e.g., staff summer picnic, holiday party) Membership Engagement: Organize and manage member programming, including member tours and panel events and discussions. Advocacy Engagement: Coordinate with States and Advocacy team to elevate our priorities with members, elected leaders and the public, including Earth Week, Climate Week, and webinars/panels briefings throughout the year. Lead coordination of state committee meetings in New York and support coordination of state committee meetings in New Jersey and Connecticut. Committee Support: Provide logistical and administrative support to the Centennial Committee and Communications Committee, including preparing presentations, meeting minutes, and other materials. Additional Responsibilities: Collaborate with the Development team to conduct donor research and other tasks as needed in support of event success. Qualifications: Bachelor's degree in a relevant field (e.g., event management, hospitality, communications, or marketing) preferred 1-3 years of event management experience Meticulous attention to detail and follow-through Proven ability to manage multiple priorities in a fast-paced environment Excellent organizational, project management, and time management skills Ability to work some early mornings and weeknights around RPA's proprietary programs and major events Strong interpersonal skills with the ability to build relationships across departments and with external partners Sound judgment, proactive problem-solving abilities, and a solutions-oriented mindset Polished, outgoing, and composed under pressure Preferred Technical Skills: Microsoft Outlook Google Workspace (G-Suite) Asana Eventbrite Constant Contact iwave Zoom Webinars CRM In-Design Compensation While this position is based in New York City, RPA offers a hybrid work schedule. All staff are expected to work from the office, at a minimum, of twice per week. Salary range is $55,000-$62,000, commensurate with experience. This is a full-time position with health, vision, and dental benefits.
