TITLE: Support Services Receptionist

DEPARTMENT : Worship & Arts

REPORTS TO: Support Services Case Manager

SUPERVISES: N/A

STATUS: Non-Exempt

SCHEDULE: Part- Time

FUNCTION: This person will be the first contact for the Support Services Department. They will do this under direction of the Support Services Case Manager. They will be responsible to answer the phone (keeping an accurate phone log), assessing basic needs before referring the person to the Case Manager. The organization of files, statistics and general office duties will be within their job description. They will provide excellent service to all who participate in functions held at the Kroc Center. In conjunction, they will keep as a priority, the promoting of the Christian faith and values in keeping with the Mission of The Salvation Army.

Responsibilities

DUTIES:

To assist the Support Services Team in providing various Emergency Support services to the general public.

General Office Duties include:

  • Answering the phone with logging of all calls received
  • Follow through on Support Service voicemails
  • Making appointments under direction of Case Manager
  • Check clients in for appointments for Case Manager and Support Services Assistant
  • Referring clients to community resources
  • Maintain complete and accurate client records and documentation
  • Prepare monthly statistical report for the Support Service Office
  • Keep Copy Room organized, ordering items through Procurement & Property Office Assistant as needed

General Duties for Networking include:

  • Becoming familiar with services in the community, keeping up-to-date information
  • Networking with other service agencies as needed

General Duties for Christmas Assistance include:

  • Assisting with Christmas registration (Oct-Dec)
  • Assisting with data entry
  • Clearing out duplications of address and household members
  • Handling client phone calls and requests regarding distribution
  • Participating in distribution

General Duties of the Gift of Power program include:

  • Participating in Gift of Power program (Jan-Apr)
  • Answering phones, making appointments, assessing clients eligibility
  • Preparing paperwork for clients prior to meeting with Case Manger or other GOP worker
  • Assisting Manger of Support Services & Corps Ministries to maintain accurate records
  • Participating in meetings with AES when asked by Manger of Support Services & Corps Ministries or Associate Kroc Center Administrator

Come alongside Case Manger & Support Services Assistant as needed, as well as any other duties deemed necessary by the Kroc Center Administrators

Qualifications

MINIMUM QUALIFICATIONS:

  • High School Diploma or equivalent
  • Pleasant attitude in working with the public
  • Computer literate in Microsoft Office Products (Word, Excel)
  • Experience in networking with others
  • Able to multi-task and meet hard deadlines
  • Able to work in a team environment
