Front Desk Coordinator is the first point of contact for patients and visitors at our medical office. This role is crucial for providing a warm, professional, and efficient experience by managing patient check-ins, scheduling appointments, handling patient inquiries, and performing administrative duties to support smooth clinic operations.
Key Responsibilities:
Greet patients and visitors warmly, ensuring a positive first impression of the medical office.
Check patients in and out efficiently, verifying insurance information and collecting copayments as required.
Schedule, confirm, and reschedule patient appointments via phone, email, or electronic health record (EHR) system.
Answer incoming calls promptly, addressing patient questions or directing them to appropriate medical staff.
Maintain patient records accurately and confidentially, adhering to HIPAA and other privacy regulations.
Coordinate patient flow and assist medical staff with daily clinic operations.
Manage incoming and outgoing correspondence, including referrals, lab results, and patient communications.
Assist with billing inquiries and direct patients to billing or insurance specialists when needed.
Handle emergency situations calmly and follow established protocols.
Qualifications:
High school diploma or equivalent required; additional education or certifications in medical office administration preferred.
Prior experience in a medical office or healthcare setting strongly preferred.
Experience using Electronic Health Record (EHR) systems (Athena) preferred.
Excellent communication and interpersonal skills with a patient-centered approach.
Strong organizational skills and ability to multitask in a fast-paced environment.
Knowledge of HIPAA and patient confidentiality regulations.
Ability to handle sensitive information with discretion and professionalism.
