Job Summary:

Under the general supervision and guidance of LJ Inc.'s Office Manager performs a variety of duties related to day-to-day clerical duties and company reception. Must work effectively in a team setting, have strong verbal and written communication skills, and customer service aptitude. The goal is to safeguard the company's image and to foster long-term success.

Responsibilities:

  • Open and secure the front entrance daily-unlock doors at 8:00 AM and lock at 4:30 PM.
  • Answer, screen, and direct incoming customer calls with professionalism; take detailed messages when necessary.
  • Create a welcoming environment by greeting and assisting walk-in customers, applicants, and vendors; offer beverages (coffee, water, Coca-Cola, or Sprite).
  • Maintain cleanliness and professional appearance in the lobby and front reception area.
  • Promote and upsell company merchandise displayed in the lobby.
  • Ensure office safety and security by following all procedures at the reception desk, maintaining a visitor logbook, and stocking PPE.
  • Monitor and manage the front gate-keep it closed when not in use, open for authorized access, and promptly report any suspicious activity.
  • Provide administrative support to the Office Manager and Accounting team, including data entry, filing, sorting documents, and other clerical tasks.
  • Accurately processes customer payments using the Square Payment System.
  • Monitor and restock office mini fridges, paper supply in the copy room, and frequently used internal forms.
  • Support and contribute to a collaborative, inclusive, and equitable work environment in alignment with LJ Inc.'s values.
  • Assist with various office tasks and special projects as needed.
  • Attend scheduled staff meetings, in-services, training courses, and professional development sessions.
  • Participate in community engagement or visibility efforts as assigned.
  • Complete all assigned documentation and reporting requirements in a timely and accurate manner.

Preferred Qualifications:

  • High School Diploma or Equivalent
  • Proven strength in Customer Service.
  • Valid, Driver License.
  • Strong time-management skills, ability to multitask.
  • Ability to read, write, perform calculations, utilize a computer, analyze, and interpret documents.
  • Must be able to collaborate with others to promote a supportive work environment.
