guide clients and other visitors to the right place and service, answer
the phone, and manage the smooth operation of a lively office. Duties
and Responsibilities: ? Greet and welcome guests as soon as they arrive
at the office. ? Direct visitors to the appropriate team member or
service. ? Answer, screen, and forward incoming phone calls. ? Ensure
the reception area is presentable, with all necessary stationery and
material (e.g., pens, forms, and brochures). ? Provide basic and
accurate information in-person and via phone/email. ? Receive, sort, and
distribute daily mail/deliveries (including checks). ? Deposit checks
remotely. ? Set up for board and other meetings, including compilation
of board packets. ? Monitor the need for and order all office supplies
for the organization. ? Maintain office security by following safety
procedures and controlling access via the reception desk. ? Coordinate
with property management company regarding repairs. ? Support
organizational events. Desirable Qualifications: ? Experience in an
office setting and familiarity with office procedures. ? Work experience
as a receptionist, front office representative, or similar role. ?
Proficiency in Microsoft Office Suite. ? Bilingual in English and
Spanish (required). ? Hands-on experience with office equipment (e.g.,
copiers, printers, and fax machines). ? Customer service experience. ?
Solid written and verbal communication skills. ? Ability to be
resourceful and proactive when issues arise. ? Multitasking and
time-management skills, with the ability to prioritize tasks.
