SALARY / WORK DAYS:

Hourly pay range minimum is $16.56; pay based upon experience; will work 7.5 hours daily, normally work 226 days annually

PRIMARY PURPOSE: Under moderate supervision, respond to inquiries from staff, students, parents, and the public; provide requested information and/or referral to the appropriate parties; direct visitors; and provide general clerical support for the efficient operation of the tax office.

QUALIFICATIONS:

Education/Certification:

  • High school diploma or GED

Special Knowledge/Skills:

  • Ability to operate multi-line phone system
  • Effective public relations, organization, communication, and interpersonal skills
  • Ability to speak, read, and understand English
  • Ability to read and comprehend instructions
  • Ability to effectively present information in one-on-one situations
  • Proficient in keyboarding, 10-key numerical data entry, and file maintenance
  • Bilingual preferred

Experience:

  • One year clerical experience in office setting

MAJOR RESPONSIBILITIES & DUTIES

Reception and Phones

  1. Receive and direct incoming calls, take reliable messages, and route to appropriate staff.
  2. Greet visitors (e.g. public, parents, students, substitutes, vendors, etc.) respond to their inquiries and/or direct them to appropriate personnel in accordance with district policies and procedures regarding building security.
  3. Maintain visitor log and issue visitor passes.
  4. Respond to emergency calls and notify appropriate parties to address immediate safety and/or security issues.
  5. Receive deliveries and disseminate materials and information to the appropriate parties.
  6. Model the high level of customer service (both to internal and external clients)
  7. Exercise high degree of confidentiality in all aspects of support role
  8. Distribute approved forms and information in a timely and efficient manner, to include inter-district transfers, fundraisers, promotional flyers, employee leave requests, arrest notifications, V-Soft / Sexual Offender notifications, etc.
  9. Maintain / distribute / post various lists and files, to include district phone list, emergency contacts lists, District Emergency Numbers Shared Folder, etc.
  10. Update District Web Calendar, to include assisting campuses with their Calendar of Events as requested
  11. Perform mailroom duties, to include budget, postage, update presort postage log.
  12. Perform proofreading as needed.

Tax Office Duties

  1. Assist taxpayers, officials, and other members of the public. Maintain effective rapport with the general public and handle any problems or concerns in a prompt and courteous manner.
  2. Prepare and send out prepared tax statements, notices, and receipts, as directed
  3. Compile, maintain, and file all reports, records, and other documents as required.
  4. Process and account for tax payment transactions, including posting tax deposits and refunds in the tax office software.
