Asks for caller's or visitor's name, arranges for appointment with or notifies person called upon on caller's arrival, guides caller to destination, and records name, time of call, nature of business, and person called upon.
May issue visitor's pass when required.
May type memos, correspondence, reports, and other documents, as needed.
May answer inquiries.
Answer telephones; determine nature of call and direct caller to appropriate individual or department.
Receive request from within the facility and locate personnel through paging system.
Receive inquiries and release information in accordance with established policies and procedures.
Maintain a current file/listing of residents by name and room number, emergency phone members of on-call personnel, department extensions, key personnel, etc.
Follow all established safety procedures and precautions when operating office equipment.
Attend and participate in facility mandatory in-service training programs as scheduled (e.g., OSHA, TB, HIPAA, Abuse Prevention, etc.).
May perform variety of clerical duties and other duties pertinent to type of establishment.
May collect and distribute mail and messages.
Must maintain the confidentiality of all resident care information including protected health information. Report known or suspected incidents of unauthorized disclosure of such information; and adhere to Resident's rights.
Performs other work related duties as assigned or requested.

- Must possess, as a minimum, a high school diploma or its equivalent.
- Must have at least one (1) year's experience in a clerical position, or successfully completed a secretarial science program from an accredited school/college.
- Must be able to read, write, speak, and understand the English language.
- Must possess the ability to make independent decisions when circumstances warrant such action and to remain calm during emergency situations.
- Must possess the ability to deal tactfully with personnel, residents, family members, visitors, and the general public.
- Must be knowledgeable of administrative practices, procedures, and guidelines.
- Must possess a cheerful personality and be able to work harmoniously with other personnel.
- Must possess the ability to seek out new methods and principles and be willing to incorporate them into existing practices.
- Must be able to follow written and oral instructions.
- Must be able to effectively use office equipment including fax machine, copy machine, and printer.
- Must have computer experience and able to use Microsoft Office products.
- Must be able to lift a minimum of 50 pounds and meet all other Physical and Sensory requirements of the job.
