JOB SUMMARY: Responsible for assisting with general clerical duties and reception functions.
ESSENTIAL FUNCTIONS
- Answer incoming calls and direct to an appropriate department or program.
- Acknowledge visitors, determine needs and process accordingly (visitor sign in/pass and notify staff).
- Mail Handling; Outgoing postal mail and distribution of incoming postal mail, packages and interoffice correspondence.
- Perform basic clerical duties assigned: filing, typing, copying, collating, faxing.
- Maintain visitor log.
- Operate a variety of office equipment, scan, copy, fax and postage meter.
- Inventory office supplies; notify supervisor of low stock.
- Main conference room calendar; handle requests for usage.
- Assist with ordering stationery and business cards.
- Arrange reception coverage as needed for lunch and other instances of time out of the office.
- Maintain order of reception area; restock literature and current
- OTHER
- Assists with special projects for the Executive Office, HR Department, Development & Marketing Department and others as needed (such as assembling marketing materials and preparation for mailings)
MINIMUM QUALIFICATIONS
- High School diploma or GED + 1 years of related work experience preferred.
- Must pass skills test.
KNOWLEDGE/SKILLS/ABILITIES
- Knowledge of office practices and procedures.
- Knowledge of principals of customer service.
- Skilled in Word processing, Excel, and other computer applications.
- Service orientation and time-management skills. Practice good judgment and initiative. Effective oral and written communication skills.
