The Receptionist plays a vital role in ensuring the smooth and efficient operation of the reception area while maintaining a professional and welcoming atmosphere. This position is the first point of contact for visitors and callers and is responsible for providing exceptional customer service, performing a variety of administrative tasks, and supporting daily office operations. The Receptionist must demonstrate strong verbal, interpersonal, and written communication skills, exercise sound judgment, maintain confidentiality, and reflect the values of the organization in all interactions.
How will I contribute
- Greet and welcome visitors in a professional manner; escort guests to meetings and offer beverages to ensure their comfort.
- Manage the issuance, tracking, and retrieval of guest access badges.
- Answer incoming phone calls, screen them as appropriate, and route them to the correct staff members.
- Process client referrals received by phone, fax, email, or insurance portals.
- Operate and navigate multiple software systems required for daily tasks.
- Maintain and update content on the corporate digital display system.
- Perform scanning, electronic filing, and data entry with a high level of accuracy.
- Maintain confidentiality in all communications with clients, staff, and external partners.
- Collaborate with administrative staff to support overall office efficiency.
- Schedule internal and external meetings as requested.
- Monitor and replenish supplies in the main supply area and kitchen.
- Provide assistance with mailings and printer operations as needed.
- Assist with the preparation and reset of event and meeting spaces.
- Perform other duties as assigned to support the overall functioning and success of the program.
What I bring
- High School Diploma (or Equivalent)
- 1 year of experience in a receptionist, front office, or administrative support role.
- Class C Driving License
- Strong understanding of general office practices and administrative procedures, along with the ability to handle confidential information in accordance with privacy regulations such as HIPAA. Proficiency in using multi-line phone systems, standard office equipment, and scheduling tools is essential. Familiarity with electronic filing systems, data entry platforms, and a professional approach to customer service and front-desk operations.
- Able to communicate clearly and professionally, both verbally and in writing, and interact effectively with diverse individuals. Demonstrates strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment. Shows dependability, exercises good judgment, and maintains confidentiality in all aspects of the job.
- Experience with ticket, telemetry, and EHR systems, and client services. Proficiency in MS Office, database usage, and running reports in Excel from databases.
