ASSOCIATE EVENT COORDINATOR

Ready to play a key role in creating memorable events while growing with a small, enthusiastic team? We're looking for an Associate Event Coordinator who thrives in both the office and on-site, bringing energy,anization, and a service-minded approach to every event!

LOCATION: Greater Portland Area, OR

SALARY: $20-$24 per hour

SCHEDULE: Part-Time, Must be available for occasional weekend and multi-day events, 2-3 in-office days per week during training.

Hands-On Event Experience: Support 12-20 dynamic events per year, including travel opportunities and real-time client interaction.

Path to Flexibility: After a successful 6-month training period, enjoy a partially remote schedule with continued on-site event involvement.

KEY RESPONSIBILITIES

Assist with venue access, including gate opening/closing and being present during events

Support client/vendormunications: follow-ups, note transcription, scheduling

Maintain and update CRM and vendor/client databases

Send proposals, brochures, and event documentation

Conduct internet-based research as needed

Support on-site coordination: guest services, material transport (up to 50 lbs with assistance), setup

Attend and contribute to regular staff meetings

Prepare booking documents and assist in sales support

WHAT WE'RE LOOKING FOR

Minimum of a High School Diploma or GED

Valid driver's license and insurable driving record required

Minimum of 1 year of relevant experience in event coordination, customer service, hospitality, or related fields

Familiarity with Microsoft Office and Google Workspace

Preferred: Familiarity with tools like Honeybook, Asana, Prismm, or Timeline Genius

Preferred: Bachelor's degree and/or experience in travel, tourism, catering, or hotel settings

Spanish proficiency a plus

PHYSICAL REQUIREMENTS

This role requires both office and on-site work. Must be able to lift up to 25 lbs independently (up to 50 lbs with assistance), walk and stand for extended periods during events, and travel occasionally. Office duties are performed in a temperature-controlled environment.
