POSITION PURPOSE

The Receptionist is the face of the Chandler Support Center office, responsible for creating a welcoming and professional environment for all visitors and team members. This role combines traditional front desk duties with administrative responsibilities to ensure the smooth day-to-day functioning of the office. The ideal candidate is highly organized, tech-savvy, and passionate about delivering exceptional internal and external customer service.

ESSENTIAL JOB FUNCTIONS AND BASIC DUTIES

*Front Desk Operations

Greet and assist visitors, vendors, and team members with professionalism and warmth.

Manage visitor access, issue badges, and support building security protocols.

Answer and route incoming calls and emails to appropriate team members and departments, including the Raleys Customer Service Center.

*Administrative Support

Assist with department administrative tasks and basic accounting processes such as invoicing, check processing etc.

Maintain organization of department records

Assist with formatting basic reports and sharing internal communications.

Occasionally assist with scheduling and coordinating meetings for leadership, including room bookings, calendar invites, and room setup.

Assist with office supply inventory and place orders as needed.

May on occasion assist with mailroom duties.

* Communication and Collaboration

Fosters strong communication and collaborative working relationships with colleagues, visitors, and customers to support a positive and productive office environment.

MINIMUM QUALIFICATIONS

EDUCATION AND EXPERIENCE:

High School Diploma or G.E.D. plus a minimum of one or more (1+) years of administrative experience, or an equivalent combination of education and experience required.

REQUIRED KNOWLEDGE:

Leverages intermediate skills in Microsoft Outlook for scheduling and calendar coordination.

Familiarity with operating a multi-line phone system or switchboard, including routing calls and managing voicemail.

Knowledge of personal computer software programs including Microsoft Office (Outlook, Teams, Excel, Word).

SKILLS/ABILITIES:

Strong verbal and written communication skills.

Excellent organizational and multitasking abilities.

Ability to maintain confidentiality and handle sensitive information with discretion.

Demonstrates integrity and sound judgement when handling responsibilities such as ordering office supplies.

Friendly, proactive, learning and service-oriented mindset.

PHYSICAL DEMANDS - Employees may occasionally experience the following physical demands for extended periods of time:

Sitting for extended periods of time at desk or reception area, movement throughout the office to support meetings, deliveries or facility needs

Frequent use of hands and fingers for typing, writing, and handling office equipment.

Ability to lift and carry office supplies or packages, up to 20 pounds

Visual and auditory ability to read documents, view a computer monitor, and communicate effectively in person and over the phone.

Occasional bend, reach, or stoop to access files or supplies.
