Receptionist
Irvine, CA (Onsite)
5 months with possible extension
Hours: MondayFriday, 8:30 AM 5:30 PM (40 hours/week)

Summary:
As a Receptionist, you will provide administrative tasks to a department or office. This includes greeting and assisting visitors, answering calls, setting up and maintaining meeting rooms, some housekeeping tasks and other duties.

Qualifications
Years of Experience: Minimum 2 years in a receptionist or front desk role
Education: High School Diploma or GED equivalent

Software Skills
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Experienced in Outlook for email and inbox management
  • Skilled in calendar scheduling and coordination

Typical Working Day

Reservation Coordination
  • Manage meeting room bookings and ensure availability for scheduled appointments
  • Coordinate reservations for internal and external guests as needed
Office Amenities & Setup
  • Ensure meeting rooms are properly set up with required amenities
  • Monitor and restock pantry snacks and supplies
  • Assist with general office maintenance and cleanliness
Visitor Management
  • Handle visitor check-ins and ensure proper registration
  • Provide assistance to guests and direct them to appropriate contacts
Catering Support
  • Coordinate with catering services and guide them on setup locations
  • Assist with food deliveries and ensure proper placement
Mail and Package Handling
  • Receive, track, and distribute incoming packages
  • Manage outbound mail and courier requests
Reception Duties
  • Answer and direct phone calls
  • Respond to general inquiries from clients and employees
  • Support administrative tasks such as filing, scheduling, and documentation
Facility Support
  • Load and unload the dishwasher
  • Clean and organize common areas
  • Assist with maintenance requests and coordinate with building services
Employee & Client Assistance
  • Provide support for employee or client needs related to office logistics
  • Ensure a professional and helpful front desk presence
