The Museum of Modern Art is currently accepting applications for an Event Coordinator.The Event Coordinator is responsible for the organization and execution of Corporate Rental events and select internal MoMA events before/after hours and on some weekends, ensuring high-quality client and guest experiences. Working closely with the other Event Coordinator, this role supports event invitation processes and coordinates beverage logistics for events in collaboration with the Financial Coordinate and ArtFood. The position is integral to ensuring seamless event experiences for corporate clients, guests and Museum stakeholders
Responsibilities :
- Responds to corporate rental inquiries and sales of MoMA Entertaining Spaces. Liaises with existing and perspective clients on event estimates and walk-throughs. Works with clients to sign Entertaining Terms and Conditions. Liaises with the Financial Coordinator on all invoices and billing. Liaises with building operations on event logistics. This includes overtime work in the mornings/evenings and on some weekends.
- Collaborates with the Corporate Membership team to cultivate relationships with corporate members and clients, drive revenue growth, and encourage greater involvement in the museum.
- Coordinates select assigned exhibition openings. Creates security, operations, and AV schedules, sends invitations, communicates specific event details Museum-wide, organizes vendor arrival and set up, and oversees check-in.
- Plans and executes select internal and cross-department events, including smaller Trustee events.
- Assists with museum calendar management, scheduling large-scale projects, and strategic planning for revenue growth and audience development.
- Provides day-of event production assistance to the Assistant and Associate Directors for external and internal events as needed. This includes overtime work in the mornings/evenings and on some weekends.
- Supports the electronic and printed invitation process for all MoMA events including Museum benefits and exhibition openings. The process includes the sending of all graphic requests, overseeing the design and approval process, tracking approvals from departments and senior staff, and managing timelines for printing. Supports list collection and organization for all exhibition openings and internal events.
- Assists with all aspects of the Museum’s major fundraisers. Provides fundraising support to the Director and Assistant Director of Special Events.
- Works with the Director and Assistant Directors to develop long-term process improvements for the department. Acts as liaison for the Special Events Department by attending meetings regarding internal event planning as needed.
- Assists Special Events Financial Coordinator and ArtFood with Museum liquor inventory, pulls, returns, and accounting for events as needed.
- Performs any other duties reasonably related to the functions described above.
Requirements :
- Bachelor’s degree and two to three years of event management or equivalent experience.
- Excellent communication, written and organizational skills; strong attention to detail; effectively and gracefully communicate with customers and donors with maturity and confidentiality.
- Ability to work in a demanding, fast paced environment, independently prioritize and manage multiple projects at once, delivering on time and the ability to work individually as well as part of a team.
- Availability to work some early mornings, evenings and weekends.
- Proficiency in Microsoft Word, Excel, Salesforce, and Google workspace.

Salary: The starting salary for this position is $61,560 per annum.
