We are seeking a Temporary Administrative Assistant to join our team during our busiest months. In this role, you will provide administrative and service support to our Wealth Advisors and our Insurance Specialists, ensuring our members receive the high-quality service they deserve. You will serve as a key point of contact for member interactions, coordinate schedules, maintain departmental documentation, and support operational tasks that reflect the values and professionalism of Heartland. WORK DETAILS

Heartland Wealth Strategies located at 2900 N Main St, Hutchinson, KS 67502

Full-time, temporary position from late September to early December. Work hours - Monday through Friday, 8:00a.m. to 5:00p.m.

No evenings or weekends!

RESPONSIBILITIES FOR HEARTLAND WEALTH STRATEGIES RECEPTIONIST

The successful candidate will be responsible for the following activities:

  • Support the completion and organization of member paperwork and documentation to ensure a smooth member experience.
  • Correspond with members and prospective members via phone, email, and in person, providing basic information or directing inquiries to the appropriate staff.
  • Act as a liaison between members and the wealth planning team, ensuring timely follow-up and communication.
  • Keeps management informed of area activities and of any significant problems. Provides suggestions and input for policy/procedure changes, improved member service, and/or greater account retention.
  • Completes required reports and related documents promptly and accurately. Ensures reports are made and submitted according to established regulations and deadlines.
  • Assist wealth strategy specialists by scheduling member meetings, coordinating appointments, and preparing necessary materials.
  • Ensures members are informed of HCU services and policies. Refers members to appropriate departments.
  • Provides superior service to our members promptly and professionally.
  • Pro-actively support and advance HCU's brand platform.
  • Performs all other duties as assigned.

REQUIREMENTS FOR HEARTLAND WEALTH STRATEGIES RECEPTIONIST

  • High school graduate or equivalent.
  • At least two years of experience working in an office setting
  • Strong typing skills.
  • Good interpersonal and public relations skills.
  • Excellent phone skills
  • Solid analytical, creative, and problem-solving abilities.
  • Project management skills and well organized.
  • Able to work well independently.
  • Able to assist, direct, and coordinate others.
  • Proficient in MS Office including Word, Excel and Outlook

OTHER REQUIREMENTS:

  • Complete required screenings.
