Duties Description The duties and responsibilities of the Receptionist include, but are not limited to:
- Serving as the first point-of-contact for the NYC Regional Office, including answering telephones; taking and relaying messages; greeting staff, visitors, and patrons in a friendly and courteous manner; and utilizing a multi-line phone set.
- Performing office tasks such as data entry, filing, alphabetizing, copying, and other related tasks using computers, postage machines, and other standard office equipment.
- Learning and using in-house databases to process payroll, purchasing, and personnel transactions.
- Creating databases as needed to record and streamline office procedures.
- Handling complaints or inquiries from park patrons regarding the quality of their experience, the cleanliness of facilities, noise from other facility users, and other customer service issues for the Regional Office and all State Parks in the New York City region.
- Updating calendars and logs for front desk operations, assisting with recruitment activities, including coordinating candidate interviews, assembling candidate nomination packages and tracking hiring progress.
- Coordinating the onboarding of staff and hiring packets.
- Assist with guidance on staff benefits and coordinating any benefits paperwork.
- Tracking probation reports and performance evaluations for regional staff.
- Managing employee ID request and distribution to NYC OPRHP staff.
- Support the Business Office with coverage as needed, and other assigned tasks.
Minimum Qualifications NO MINIMUM QUALIFICATIONS FOR THIS TITLE PER NYS CIVIL SERVICE.
Additional Comments TYPE OF APPOINTMENT:
Temporary, seasonal appointment with the possibility of extension dependent on funding and operational need.
OPERATIONAL NEEDS:
- Must be able to write and communicate proficiently in English.
- Spanish proficiency is preferred, but is not required.
- Prior business office or HR experience preferred, and some college studies preferred as well.
- Must be able to multi-task in a fast-paced environment, work independently and set priorities as assigned by supervisor.
- Must possess strong interpersonal and communications skills.
- Must possess strong computer and spreadsheet skills, including Microsoft Office applications.
- Must be willing to support additional tasks and projects as assigned by the Regional Office.
- Must be willing to occasionally support tasks and projects at other New York State Parks' work sites in the New York City Region.
- Must be able to work m i n. 37.5 to 40 hours a week, Monday through Friday, and possibly extended weekday hours as needed.
