This role will be located at the 900 Third Avenue office.

What You'll Do

Do you thrive on creating exceptional first impressions and keeping high-profile environments running seamlessly?

As a Guest Services Representative, you'll be a key member of the Guest Services team, delivering a polished, high-touch experience for attorneys, clients, and visitors. This role sits at the center of front-of-house operations and the Conference Center, where your proactive coordination, attention to detail, and real-time problem-solving directly shape the firm's professional image. From managing meeting logistics to serving as a primary point of contact on the main phone line, you'll ensure every interaction reflects the firm's brand, values, and commitment to excellence.

The schedule for this position is:

  • 8-hour shifts between 7:00 a.m. - 3:00 p.m. EST, Monday through Friday, with occasional support outside these hours as needed.
  • Front-of-House & Conference Center Operations: Serve as the central coordination point for reception and conference center activities, maintaining real-time awareness of schedules, space usage, and operational changes.
  • Professional Call & Visitor Management: Answer and route incoming calls via the SDC phone system and greet guests warmly and professionally, directing them to conference rooms, offices, or designated spaces.
  • Office & Visitor Coordination: Assign offices for visiting attorneys and clients, partnering with Practice Services, Technology, and other teams to ensure workspaces, equipment, connectivity, and supplies are fully prepared.
  • Meeting Space & Scheduling Management: Manage conference room reservations and changes using EMS Conference Room Booking software, adapting to evolving priorities, technology needs, and space constraints.
  • Event, Catering & Logistics Support: Coordinate catering, foodservice, transportation, and related logistics, confirming details, delivery timing, billing, and menu selections.
  • CrossTeam Collaboration & Special Projects: Work across departments to anticipate needs, document visitor preferences, manage building access, and support special projects and administrative tasks as assigned.

What You'll Bring

  • Education: Bachelor's degree preferred or equivalent experience.
  • Experience: At least one year of experience in a fast-paced, service-oriented environment such as hospitality, professional services, or corporate services.
  • Client Service Excellence: A proven ability to deliver high-end, client-focused service with professionalism, discretion, and a solutions-oriented mindset.
  • Communication Skills: Strong written, verbal, and telephone communication skills, with the judgment to assess needs and prioritize requests.
  • Adaptability & Composure: Ability to manage multiple evolving priorities, anticipate issues, and adjust plans in real time while remaining calm under pressure.
  • Collaboration & Organization: A team-oriented approach, strong organizational skills, and keen attention to detail.
  • Reliability & Flexibility: Dependable, adaptable, and willing to work varying shifts within standard business hours.
  • Technical Proficiency: Comfort with Microsoft Office (Outlook, Word, Excel), EMS Conference Room Booking software, and multi-line phone systems, or the ability to learn new systems quickly.

Compensation

The base salary range below represents the low and high end of the salary range for this position in New York City. This range may differ based on your geographic location and cost of living considerations. At Kirkland & Ellis, we consider compensation more than just a base salary. Compensation Range:

New York City: $51,000 - $70,000
