Position Title: Event Coordinator
Reports To: Director of Events & Conference Services
Salary: $64,350
Position Summary:
The Event Coordinator supports the Events & Conference Services department with the primary responsibility of managing the coordination of room reservations in 25Live for spaces in the Raymond W. Kelly Student Commons and multiple venues on-campus. The position involves extensive communication and coordination with campus event organizers to plan event logistics and simultaneously meet event driven deadlines for a fast-paced department. This role also acts as a liaison and onsite support for organizers including but not limited to Admissions, Student Life, and Academic Affairs events before, during and post events.
The ideal candidate will be proactive, approachable, and committed to creating positive guest experiences. The role demands flexibility, a solutions-focused mindset, and a passion for hospitality. The Coordinator will confirm all room layouts and event details with requesters and communicate the final details with the execution team. The Coordinator also assists the Assistant Director with high-profile events (Commencement, Convocations, dedications, etc.) Additionally, this role will also work with the external community in hosting day events, as assigned, and supporting operations for the summer conference season. This is an in person on campus non - remote position.
Key Responsibilities:

Serve as the primary point of contact for internal departments, handling a high level of inquiries (phone, email, and walk-in inquiries) in a timely fashion with professionalism and warmth.

Manage and confirm room reservations using the 25Live system, including detailed communication regarding room layouts, audio-visual requirements, and event setups.

Work collaboratively and communicate event logistics clearly and effectively to all relevant stakeholders.

Ensure satisfaction by promptly addressing concerns and providing timely solutions.

Monitor and track expenses related to events, ensuring adherence to budget constraints.

Manage a small portfolio of external clients.

Handle all phases of external event coordination within the portfolio including communications, contracts, invoicing, insurance, staffing, and on-site presence.

Supports the summer conferences operations, ensuring excellent customer service and operational efficiency.

Provide guidance and oversight to student workers and event volunteers, including training, scheduling, and feedback.

Assist with high-profile internal events and perform miscellaneous projects as assigned. Provide onsite event support and troubleshooting as needed.

Education:

Associates degree required

Bachelor?s degree preferred

Equivalent experience may substitute for some educational requirements
Work Experience:
-
At least 1 years of experience in event coordination, operations, or hospitality
Additional Requirements:

Experience in event planning, client service, and operational logistics preferred

Ability to learn space reservation software (ex: 25Live) and event AV coordination

Strong organizational skills and attention to detail

Excellent verbal and written communication

Ability to manage multiple projects in a fast-paced environment

Proficient in Microsoft Office and online collaboration tools

High degree of independence, professionalism, and customer service orientation

Ability to work evenings and weekends as needed

Able to lift up to 25 lbs and walk/stand for extended periods during events
