REPORTS TO: Director of Events
POSITION SUMMARY:
The Institute of Culinary Education, New York City Campus, is seeking an experienced hands-on professional Event Sales & Logistics Coordinator. This role will play a pivotal part in fostering quick communications and client focus, achieving company goals by securing new business opportunities and maintaining current client relationships. The Event Sales & Logistics Coordinator will successfully plan, organize and manage on campus events, with full oversight in operations, working across departments to ensure excellent execution.
KEY RESPONSIBILITIES:
- Review incoming inquiries and ensure all necessary information is obtained from prospective clients; seek clarification and further details as needed; understand their event needs and preferences
- Increase top line revenue by reaching out to new potential clients via in person meetings, calls, emails and mailings
- Coordinate and lead site visits for clients interested in booking events or space for room rentals
- Gain referrals by strengthening relationships with potential referral targets and other event vendors
- Create and update client contracts
- Actively cultivate and maintain strong relationships by corresponding with existing clients throughout and beyond the event planning process to create repeat business
- Assist in meeting sales goals month to month and year over year
- Oversee the billing process for events, ensuring accurate invoicing, and timely payment collection from clients
EXPERIENCE AND QUALIFICATIONS:
- Three years+ experience in event planning and management.
- Proven experience in a consultative sales role.
- Actively immersed in the culinary world.
- Must be self-motivated, organized, process-minded and business driven.
- Excellent communication skills both written and verbal; strong presentation and interpersonal skills
- Proven ability to work both independently and collaborate within a team or with other departments.
- Demonstrated ability to prioritize multiple tasks and meet deadlines.
- Strong critical thinking and problem-solving skills required
- Proven leadership and team building skills that foster excellent in-house relations.
- Flexibility to occasionally work events at ICE on evenings and weekends.
- Working knowledge of Microsoft suite of products including Outlook, PowerPoint, Word and Excel; Strong administrative abilities
- Labor union experience preferred
